Ordering Yokoy Platinum Visa cards

Once you’ve opened a card account for your Yokoy Platinum Visa cards, follow these steps to begin the card ordering process.

To order Yokoy Platinum Visa cards, you must have already set up an account.
See Creating an account (EU & UK) or Creating an account (Switzerland).

Following the verification process for your card account by the bank, no manual forms or physical signatures are necessary for you to receive your cards. Instead, with just a few clicks, you can put in an order. Once activated by the card user and depending on your card type, your Yokoy Platinum Visa cards are available immediately. Virtual and physical cards can be used immediately online. Physical cards are delivered within the following ten business days.

To order Yokoy Platinum Visa cards for your employees:

❗️ Warning

Physical cards are not shipped until the cardholder has activated the card.
Make sure employees know they must activate their cards as soon as possible to prevent delays.

Start the ordering process

To start ordering your Yokoy Platinum Visa cards, go to the Corporate cards section, select Account and admin. After selecting the corresponding legal entity in the Company field, click Order card in the top right corner of the screen.

Enter your information

After you‘ve clicked Order card, you are directed to a new page where you can set up the configuration of your new card. The process is separated into six steps:

As you complete these steps, you can go back to the previous step at any stage by clicking the link in the left process flow.

Card type

First, select the card type depending on your specific scenario:

  • Physical card: Traditional card that can be used in brick-and-mortar stores, as well as online.

  • Virtual card: Digital card with a unique 16-digit number, expiry date, and CVV code, ideal for secure online payments.

  • Single-use card: Virtual card that can only be used once, perfect for making secure one-time payments online.

Card logistics

Here, you need to enter the address to which your card order is assigned. This step is only required for physical cards. Virtual and single-use cards are automatically assigned to the default company address since no physical card is issued.

You can choose to ship the card to your company address or the cardholder’s home address. The shipping address must be in a country where Yokoy Platinum Visa cards are available (i.e. EU & UK, and Switzerland). Otherwise, you cannot proceed with the order.

🚧 Caution

Addresses must be complete, i.e. with a valid street name, street number, and postal code, as well as being located in a country where Yokoy Platinum Visa cards are available.

If you select Ship to company address, you see the default company address set up for the card account. However, you can enter a new address as required.

  • Company address: Select the address of your legal entity from the dropdown list.

  • Company registered name: Enter the registered name of the legal entity the card is registered to.

  • Send cardholders card activation request: Select this checkbox to send an email to all selected cardholders, informing them about activating their new company card.

If you select Ship to home address, you can manually enter a home address for the cardholders selected in the next step. By default, Yokoy takes the home address set in the user‘s profile. If none exists, it uses the default company address specified in the Company address field as a fallback solution. In any case, you can manually adjust the address in the next step.

Click Next to continue.

Cardholders

Search and select the names of the employees you want to order a card for. If you select multiple names, each person selected is issued a separate card.

✏️ Note

When you select multiple people, you issue multiple cards with the same properties such as card type, spending limits, merchant categories, etc.

If you need different card types, you need to order the cards separately. However, you can adjust the limits for each card individually at any time after ordering and activating the cards.

To choose the employees to be issued a card, you can either click:

  • Employee: Search for each employee individually. Enter the employee‘s name or email and select the checkbox.

  • Employee group: Add multiple people at once.

    • Added since: to add all employees who have been created in Yokoy after a specific date. Choose a date in the calendar.

    • Without company card: add all employees who don‘t have a company card yet.

When scrolling down, you see all selected employees. You can view whether they already have a company card, and if they do, how many cards they have. Click the trash icon beside the employee‘s name to remove this person from the card order.

If you selected Ship to home address in the Card logistics step, Yokoy indicates the address to which the card will be shipped for the employee.

By default, Yokoy takes the home address from the user's profile. If it doesn't exist or is incomplete, Yokoy uses the company address.

You can manually change the address for each user where Yokoy has taken the company address as a fallback solution. If you enter a new home address, you can save this address to the user‘s profile by selecting the Save home address to user profile checkbox.

🚧 Caution

It is the company‘s responsibility to ensure the user‘s address is correct. Yokoy accepts no liability for cards shipped to an incorrect user address.

Card alias

You need to define a card alias for each cardholder. A card alias is a name that is used to identify the card more easily in Yokoy. It isn‘t sent to the card manufacturer or saved by the card provider. It‘s solely handled by Yokoy.

On the other hand, the card name is the embossing name. This means it is the name that is sent to the card manufacturer and is ultimately printed on the card. This name is limited to 21 characters. In Yokoy, this name is shown on the card visual.

❗️ Warning

The embossing name is the cardholder’s full name. If this name exceeds more than 21 characters, it will be cut off on the card.

💡 Tip

If you have selected a group of users, use the left and right arrows to navigate the list of users to check their aliases.

Spend controls

Now, you need to define the spending limits and additional controls for the cards.

You can determine the spending limit, set up controls to prevent late receipt submission for card expenses, prevent ATM withdrawals, and define where the card can be used.

Spending limits

Depending on whether it is a physical, virtual, or single-use card, the spending limit options may vary.

  • Limit frequency (physical & virtual cards): Determines the timeframe when the limit amount is reset, which can be monthly, weekly, or daily

  • Limit amount (physical & virtual cards): Enter a number at which spending is capped.

  • Card limit (single-use only): Maximum amount that can be purchased with the card. The amount must be used in a single transaction.

  • Auto-terminate on (single-use only): Sets an automatic expiry date for the card, after which any transactions will be declined.

💡 Tip

You can always edit the spending limits and controls (including ATM withdrawals for physical cards and allowed merchant categories) for each card at any time after card activation in Corporate cards > Account and admin.

The spending limit on the physical and virtual Yokoy Platinum Visa cards are subject to certain conditions and may not exceed these limits:

Late receipt control

For physical and virtual cards, select the Auto-freeze card when too many receipts are late checkbox if you want to automatically freeze cards if the cardholder has too many late receipts. A late receipt is one that hasn’t been matched within a predefined number of days.

If you want to exclude cards from the auto-freeze, you can deactivate this feature individually for each card after activation.

ATM withdrawals

For physical cards, you can choose to allow or prevent cardholders from withdrawing cash from ATMs by selecting or unselecting the Enable ATM cash withdrawals checkbox.

Merchant categories

Choose which categories you want to restrict card payments. If you deauthorize one of these categories, if the cardholder attempts to make a purchase at a business with that category, the card transaction is refused.

Click Next to continue.

Confirm order

In the last step, you see an overview of your order. Here, you need to check all data before confirming the order. If you need to make changes, click on the pencil icon to switch to editing mode.

Once you have checked all data, click Confirm order to submit your request.

❗️Warning

Your card order is not completed yet. The cardholders need to activate the cards.

If the cardholder doesn‘t activate the card, the card order is not processed and the physical cards are not printed and shipped.

Activate the cards

To complete your card order, your users need to activate their Yokoy Platinum Visa cards in Yokoy. Cardholders need to provide and verify their phone number, set answers to the security questions, and in the case of physical cards, create a PIN, to configure their security settings and activate their card.

You can see if a card has been activated by checking if the status changed from Draft to Active in Corporate Cards > Accounts and admin.

Once activated, your card order is processed. Virtual cards are available immediately for use. Physical cards arrive within ten business days of activation to the office address you provided. Once the cards are available, cardholders can start to use their card to manage their expenses.
