Yokoy Invoice: Upload e-invoices in web, invoice source – March 2025

Manage e-invoices in Yokoy, uploading them directly in the web app.

Upload e-invoices in the app

Previously you could only send e-invoices to Yokoy via the invoice inbox. However, you now can upload e-invoices directly in the web app. You can upload ZUGFeRD e-invoices (hybrid PDFs), X-Rechnung e-invoices (XML) or other formats that use either the UBL 2.1 or CII D22B schemas. Yokoy recognizes these formats as e-invoices and processes them accordingly.

What’s more, if you upload an XML file, Yokoy generates a PDF preview of the invoice to make it easier for you to check and match line items.

Filters for credit notes

Users can now choose to filter invoice documents marked as credit notes that are associated with a PO or without a PO, as well as PO and non-PO invoices.

Invoice matching window

To make it easier to match invoice line items with purchase orders, the matching window now lets you expand the window to view more lines in a single click.

Source of invoice upload

Yokoy now displays detailed information about how the invoice was uploaded in Yokoy. Previously, the invoice header only displayed information on whether an invoice was uploaded manually (either via the web app or the API) or via email. Now you can see the invoice source, whether it was uploaded via email, API or the web app, as well as more information on the type of file that was sent, either PDF or e-invoice. For invoices uploaded via email, you can see the sender by hovering over the envelope icon.

E-invoice source documents

When processing e-invoices, Yokoy uploads the original file used to create the invoice to the Documents tab. Source files are identified with the Source document label and can't be deleted for traceability.

Convert credit notes to invoices

If you mistakenly convert an invoice to a credit note, rather than having to delete and re-upload the invoice, you can easily convert the credit note back into an invoice by clicking Invoice in the invoice header.
