Yokoy Invoice: upload invoices via central inbox, revert single invoices, and improved global search – July 2024

Move invoices uploaded via email to the corresponding company, revert single invoice documents, and find invoices more easily.

Centralized invoice mailbox

Previously, if you wanted to upload invoices in Yokoy by forwarding the email to a dedicated inbox, you needed to set up separate invoice mailbox for each company to route invoices to the right legal entity for processing.

Now you can use a generic invoice mailbox for invoices for several or all legal entities in your organization. Yokoy automatically moves invoices to the corresponding legal entity based on the information found in the invoice (such as PO number, tax IDs, company name and address).

Revert single invoices

On occasions, invoices may not be correctly exported to your target system. Finance users can now choose to revert the status of invoices in Yokoy so they can be re-exported correctly. All changes are logged with comments in the invoice history.

Cancel invoice export jobs

If issues occur during the export process that cause the invoice export job to spin endlessly, you can now cancel the export job provided you have previously checked that the invoices have not reached the target system. We recommend you use this feature with caution as it may result in double bookings if not used correctly.

Invoice table search

We‘ve improved the experience searching for specific invoices in the Invoice tables for submitters, managers, invoice processors, and finance users. The global search field lets you type keywords and Yokoy looks for matches in invoice number, Yokoy ID, supplier name, supplier secondary name, and current approver name, automatically refreshing the table rows to display only those invoices that match.

Find invoices faster with filters

Invoice processors and Finance users now have several new filters that they can use to refine invoices displayed in the table. In Invoice processor > Invoices and Finance > Export, you can now filter invoices by:

We’ve also updated the Total amount (invoice currency) filter so you can now filter by a maximum amount, a minimum amount, or set a range.

CSV, Excel, and Word formats as supporting documents

You can now attach additional file types as supporting documents to invoices. Yokoy lets you upload up to three CSV, Excel or Word files (.csv, .xls, .xlsx, .doc and .docx file formats), as well as PDF documents in the Documents tab.
