Generate a UBS reconciliation report of all transactions

Easy reconcile transactions and monthly statements using a UBS transaction report.

Monthly UBS statements are available to download in Corporate cards > Account and admin > Actions by clicking Download statements. You can reconcile this statement with the UBS card transactions processed in Yokoy using Analytics.

Generating the report

To generate a UBS reconciliation report:

  1. Go to Finance > Analytics.

  2. As a report type, select Transactions.

  3. Choose the corresponding legal entity in Company.

  4. In Selection of the date range, select the desired date range.
    You should choose a wide date range when generating the report as the transactions may be reported at an earlier or later date compared to the billing period. You can filter out the irrelevant information during reconciliation.

  5. Select the Chart type as bar chart.
    This determines how the information is displayed in Yokoy. However, you can download the information as a CSV file, which is better for reconciliation.

  6. Select the Report currency. The currency should be the same as used in your monthly statement.

  7. In the Define report structure section, you need to select these data fields as Rows:

    • Transaction ID

    • Company

    • Company card - Name

    • Company card - PAN

    • Statement (cycle number)

    • Transaction date

    • Merchant

    • Credit note

    • Original amount

    • Status

  8. In Values (aggregated), select Total amount (report currency).

  9. Click Generate report.

  10. When the report has been generated, you can click on the report.xlsx link to download the report.

Reconciling the report against the statement

UBS provides the cycle number to Yokoy when the transaction is billed. The cycle number is reported in the Statement column in the report. You can use this column to determine which billing period (Rechnungsperiode), and hence statement, the transaction belongs. Usually, the cycle number is increased in each statement.

For example, if you look at transactions towards the middle of the month, you can see that the statement column contains the value 30.

You can work out the total billed amount in transactions by taking all rows where statement is 30, and adding up the amount for each transaction. Depending on how your cards are billed, you can also filter by the cardholder and statement number to get the total amount per cardholder to reconcile against the monthly statement.
