Refreshed user interface for trips
We’ve refreshed the interface for the calendar view in the trips section of both Yokoy’s web and mobile apps. Along with this update, we’ve also released several other features that improve the overall user experience.
This new user interface is an opt-in feature until 31 July 2023. We recommend trying it out during this time and communicating this upcoming change with your team.
Admins can enable the new interface at Admin > Company under the Trips section by checking the boxes for New calendar view (web) and New calendar view (mobile).
Downloadable PDF trip summary
As a part of the refreshed user interface for trips, it’s possible to allow users to download a summary of a trip in PDF format. The trip summary PDF includes:
Complete trip itinerary
Trip expense breakdown
Total expense amount incurred for the trip
The new calendar view feature must first be enabled before trip summary PDFs can be downloaded. Once enabled, users have the option to Download PDF for every trip.
Submitter home addresses for smarter mileage claims
Submitters can now add their home address in their user profile. This allows Yokoy to automatically pre-fill their home address in trips, making it easier to accurately calculate any distance traveled from their home.
Foreign exchange rates for the Czech Republic and Poland
Countries like the Czech Republic and Poland mandate using their own national bank rates to calculate foreign exchanges rates. With this new release, Yokoy can now calculate such country-specific foreign exchange rates for the Czech Republic and Poland based on their official national bank rates.
Admins can configure new exchange rates individually for each entity at Admin > Company under General, where the preferred exchange rate can be selected depending on the country. For Poland, we recommend selecting the National Bank of Poland; for the Czech Republic, select Czech National Bank.
Threshold for calculating foreign per diems as domestic
Yokoy now allows admins to set a threshold for calculating foreign per diems as domestic. Once this functionality is enabled, submitters must travel a certain number of hours (above the set threshold) in a foreign country to use the specific per diem for that country. If not, submitters receive the domestic per diem for the number for hours traveled.
Admins can enable this functionality at Admin > Company under Enable trips > Per diem settings. Check the box Consider foreign duration as domestic up to, enter the time threshold (in hours) in the adjacent field, and Save.
Income tax category for per diems
Yokoy now allows admins to configure an income tax category. This allows admins to set up a tax-free per diem and an alternative category with a different GL code for the taxable amount. During export, Yokoy splits the category into two categories:
Tax-free amount: standard tax-free category
Income tax amount: taxable category
To enable this, the per diem must be marked as Subject to income tax. Once enabled, the dropdown list for the taxable category is displayed. Select a category to be subject to income tax.
Per diem summary on the mobile app
On the web app, we recently introduced an option to view the summary of each submitted per diem with multiple attributes, such as city, fractions, start time, end time, location, etc.
This has also been enabled on the mobile app, so whenever a user submits a per diem, they can also view the per diem summary here, giving them extra transparency into how the per diem was calculated.
