What is the role of a Finance user in managing card transactions in Yokoy?

The role of a Finance user is ensuring the correctness and accuracy of financial reporting through the review and verification of not only expense reports, but also the matching between company card transactions and expense reports. By regularly reviewing the company card transaction matches, you can ensure that no transactions are forgotten, or corresponding expense reports left unsubmitted.

Consequently, a Finance userโ€™s role refers to two areas of responsibility:

1. Review card expenses

Reviewing a card expense works essentially the same as reviewing a regular expense. To review a card expense, you can either go to Finance > Review > Expenses or to Finance > Card transactions > Company card expenses. In one of the two tabs, click on the card expense to be reviewed and review all data entries. Once reviewed, you have two options:

  1. Click Review if the expense is submitted correctly

  2. Click Send back if you want to send back the report for correction. Please enter the reason for sending back the card expense report.

Card expenses cannot be rejected permanently. As an alternative, send them back for review or mark them as a private to charge them to the employee. Depending on your company policies, the second option might not be available to you.
