How can I set an office or home address for employees as an HR user?

Set the office address for users to make it easier for them to create accurate trip expenses and mileage rates.

Setting up an office address for employees speeds up submitting trip expenses and mileage claims, as the default starting point can be automatically set to their office address.

Yokoy support these types of addresses:

  • addresses (e.g. Förrlibuckstrasse 181, 8005 Zürich)

  • establishment (e.g. Zürich Airport (ZRH))

  • regions (e.g. Westminster, London)

  • cities (e.g. Zürich, Amsterdam, etc.)

  • all (e.g. all of the search types)

🚧 Warning
Google lets users submit a point of interest (i.e. a named pin on a specific location in Google Maps. Points of interest are not considered valid addresses and hence are not supported by Yokoy.

Office addresses can either be set for individual users or added to your corporate entity. Submitters can set office or home addresses themselves in their profile.

Alternatively, you can set up the addresses for them. You can add an office or home address while creating a new user account in Yokoy or by editing their user.

To set the office address for an existing user, go to the HR > User management tab. There, you can either select or search for the user for whom you want to set an address.

Click on the user to open a new window. In the Office address field, either select the entity office address that has been set in your company settings or begin to type the desired office address.

As you're typing, address suggestions begin to appear. Once your office address comes up, click it to select the address. You can set the Home address in the same way. To finalize, click Save.

The designated office address or the home address can now be used as the default starting point for the employee's future trips and mileage claims.
