π‘ Tip
Want to generate a report for expenses or analyze invoices?
Use case 1: Report of unmatched transactions
If you want to get an overview of all unmatched transactions remaining from a specified timeframe, you can create a report as basis for further analysis and bookkeeping.
To do this:
In Selection of the date range, select the date range. In this example, you want focus on unmatched transactions from last quarter, between 1 January 2024 and 31 March 2024. As some transactions were imported into Yokoy only a few days after occurring, a week of leeway is added, thus setting the timeframe to 1 January 2024 to 7 April 2024.
βIn Application of filter criteria, refine our data by filtering the Status as Not matched. As unmatched transactions don't have corresponding expenses, you leave Expense status unspecified.
βIn Define report structure, select your preferred Report currency and Report language. In this use case, the chart type is not important, as the primary goal is to create a comprehensive overview of unmatched transactions, which is ideally displayed in form of a table.
Select the relevant data to identify unmatched transactions with the relevant submitter and amount. For this, drag the following fields into the Rows field:
Transaction ID
Company card - Name
Original amount
Original currency
Status
As you want to create a list of relevant data without analyzing it, leave the Columns field blank, and leave Values (aggregated) unchanged.
Now, click Generate report to confirm your settings.
To display the results as an Excel table, click on the download icon in the Results section. An Excel spreadsheet is generated and saved to your downloads. In the Excel sheet, all relevant information is listed according to the previous selections.
Use case 2: Card spend report
If you want to get an overview of spending sorted by company card, you can set up a report of that with the following instructions.
To do this:
In Selection of the date range, select the date range. Since there may be a delay between the date of a transaction occurring and when it is imported into Yokoy, you should extend the date range by a few days.
βIn Application of filter criteria, don't refine the data, as you want to get all card spend regardless of status.
βIn Define report structure, choose your preferred Report currency and Report language. In this use case, use the Column chart chart type as it creates a straightforward overview of spend per company card.
Select the relevant data for identifying spend per company card. For this, add Company card - PAN to the Rows field, and Company card - Name to the Column field. Further, leave Values (aggregated) unchanged.
Now, click Generate report.
In the Results section, you can see card spend per company card split into columns by the card name. To see the exact amount spent, hover your cursor over the column you want to view.
To display the results as an Excel table, click on the download icon in the Results section. An Excel spreadsheet is generated and saved to your downloads. In the Excel sheet, all relevant information is listed according to the configurations in the previous sections.
