Manage invoice credit notes

To indicate a return of funds, you can create a credit note out of an invoice.

Credit notes are essentially the reverse of an invoice. They are documents that show a negative amount instead of positive one and they are booked accordingly. These documents are recognized manually in Yokoy.

Yokoy treats an invoice as a credit note if the total amount of the document is negative, irrespective if some line items are positive and some are negative. If the total sum is negative, the document is considered to be a credit note.

Credit notes follow the company‘s default approval flow determined for other invoices unless the workflow has been set up to check for negative amounts.

Processing credit notes

When a document is uploaded, Yokoy automatically marks any invoice with a negative total amount as a credit note. However, suppliers often send credit notes with positive total amounts.

To recognize these documents as credit notes during manual or email upload, you need to enable document classification.

Converting an invoice into a credit note

To convert an invoice into a credit note, go to the Invoice Processor > Invoices menu, select the invoice you want to convert, and click the three dots at the top right corner of the invoice report.

Select Credit note and your invoice is automatically converted to a credit note.

Yokoy converts all the line items amounts into negative amounts. If line items are already negative, Yokoy does not change them.

Viewing credit notes

In the Invoices overview, all credit notes are identified with the credit note icon.

The color of the total amount also changes to red and a negative sign appears before the amount.

Converting a credit note into an invoice

If the invoice has been accidentally marked as a credit note, you can convert it back into a standard invoice by clicking Invoice. All line items are converted into positive amounts.
