You can configure the Yokoy connector for MS Dynamics 365 Business Central to perform provisional posting of invoices. This means that invoices are created in Business Central before approval with a payment block.
When the invoice is approved in Yokoy, the payment block is removed.
Provisional posting
When you configure provisional posting for invoices in Yokoy, invoices are synced in Business Central as follows:
When an invoice is submitted in Yokoy, a purchase invoice is either created or posted in Business Central based on the Invoice Integration configuration with the Yokoy Payment Status set to Not Approved.
Only invoices with the Yokoy Payment Status set to Approved are considered in the suggested Vendor Payments report and are available for application.
Once an invoice is approved and exported from Yokoy, the Yokoy Payment Status in Business Central is automatically updated from Not Approved to Approved. Then it can be paid or applied in Business Central.
π§ Caution
Although you can manually change the Yokoy Payment Status from Not Approved to Approved, it is strongly discouraged, as it disrupts the Provisional Posting concept. This action is controlled by role-based access in Business Central via the Yokoy connector.
Setting up the workflow
To perform the provisional posting of invoices, the Yokoy workflow needs include two nodes:
Provisional posting: sends the invoice data to Business Central with a posting block.
Pending external input: an invoice status node to block the invoice in the workflow until a response to confirm whether the action was successful or not.
To configure the workflow with the condition required to send the data, see Provisional posting (invoices).
βοΈ Company-specific workflow required
You need to set up a workflow containing these nodes for every company where you want to perform provisional posting. Since the provisional posting nodes require a company-specific value, you must set up a separate workflow for each company. You cannot activate the same workflow in multiple companies.
