Calculating invoice line item amounts

Yokoy auto-calculates specific amount fields depending on the data extracted from the invoice.

The invoice line items sections contains these amount fields:

  • Tax rate: Tax rate applicable to the line item.

  • Net amount: Before-tax amount of a product/item/service.

  • Tax amount: Tax value calculated based on the tax rate applied to the product/item/service.

  • Gross amount: Total amount of a product/item/service, including tax.

Calculating invoice line item amounts

The following amount fields are displayed in the invoice line items:

✏️ Note

Self-assessed tax amount and Non-recoverable tax amount are only displayed in the invoice line items when advanced tax configuration is enabled for the legal entity.

Depending on the extracted data available when the invoice is uploaded, the remaining amounts are calculated accordingly:

  • If the net amount has been extracted, the tax and gross amounts for the line are calculated based on the net amount and the tax rate, if they exist.

  • If the gross amount has been extracted, the tax and net amounts for the line are calculated based on the gross amount and the tax rate, if they exist.

  • If both net and gross amounts have been extracted, then gross amount is used as the calculation base.

Depending on the values entered when manually adjusting invoice line amounts, the remaining amounts are calculated accordingly:

  • If a user enters the net amount, the tax and gross amounts are recalculated accordingly.

  • If a user enters the gross amount, the tax and net amounts are recalculated accordingly.

  • If a user changes the tax rate, the tax and gross amounts are recalculated accordingly.

You can only change the tax rate in a matched invoice line. You cannot edit the net and gross amounts.

The following equation is always true:

Net + Tax = Gross

If advanced tax configuration is enabled, then you can click on the line tax amount to display a pop-up window with more information about the calculated tax components.

If self-assessed and non-recoverable taxes are configured in the tax rate setup, they are calculated automatically for each line item where that tax rate is applied.
