Manage units of measurement for PO invoices

If units of measurement vary between invoice line items and PO line items, you can configure Yokoy to always take the units from the PO.

By default, Yokoy:

  • extracts units of measurement from the invoice PDF, or

  • takes the units from the invoice data provided via the Yokoy API

In the case of PO invoices, this may result in differences between the PO’s units of measurement and those included in the invoice. For example, the unit of measurement may be ‘Stuk' on the invoice, but ‘Piece' on the PO. As a result, you may not be able to export the invoice to a third-party system.

For PO invoices, Yokoy admins can choose to take the unit of measurement directly from the PO item to prevent differences when exporting invoice line items to third-party systems.

Enable PO unit of measurement

To automatically take the PO’s unit of measurement as the "source of truth” for matched line items, go to Admin > Invoice settings.

In the Unit settings section, select Allow automatic retrieval of unit from PO items and click Save.

Yokoy automatically detects any units included in an invoice (either extracted via AI or provided as invoice data).

However, when you enable the automatic unit retrieval setting, this information is overwritten when a line item is matched (either manually or automatically) against a PO line item.

Invoice processors (and submitters) can manually change the unit if required by editing the invoice line item.

If you unmatch the invoice line item, the PO unit of measurement is cleared from the invoice line item. If you re-match the invoice line item with another PO, the unit is taken from that PO.
