Set up PO matching tolerances

Control overspending by setting up tolerances for deviations between PO and invoice line items.

Tolerances are a way to define the matching status of an invoice with a purchase order when using two-way matching or three-way matching.

In particular, the tolerances set up in Yokoy allow you to define when an invoice is considered to be “overspent” compared to what has been ordered.

For example, Company A have ordered 100 CHF (net) worth of computers. They received an invoice from the supplier for 105 CHF (net). The invoice is automatically matched to the PO imported from the ERP into Yokoy. The matching status on both the PO and the invoice line items is Overspent since the amount billed is greater than the amount previously indicated, but Company A may allow such deviation as it falls within the tolerance of the company.

In Yokoy, you can define this behavior automatically in your company.

🚧 Caution

Overspending tolerances apply to all suppliers and invoices for the legal entity.

Setting up an overspend tolerance

Go to Admin > Invoice settings, PO matching tolerances.

You must have enabled purchase orders in Yokoy to set up a overspending tolerance.

You can define:

Description

Threshold

  • + (plus): If you select plus, all line items above the amount or % tolerance are flagged as overspent.

  • +/- (plus or minus): Set a range. All line items that fall within the range provided by amount and or % tolerance are not flagged as overspent. If the amount is outside the range:

    • Above the range: the line item is flagged as overspent.

    • Below the range: the line item is flagged as partially matched.

Amount

Absolute amount in the company currency to be tolerated.

Percentage

Percentage amount based on the PO’s net value to be tolerated versus the invoice line items net value.

✏️ Note

If you enter two values for both amount and percentage, the threshold reached first is taken.
