๐ Web | ๐ค Admin with Invoice Business Rules and Invoice settings permissions
When processing invoices, Yokoy performs checks on all invoices and flags any potential issues such as duplicate invoices or mismatching supplier addresses with notifications, either in the invoice header or at line item level.
Yokoy performs general checks (i.e. duplicates, IBAN, invoice-PO currency, tax rate validity) on all invoices. However, you can choose which checks you want Yokoy to perform by activating or deactivating the check in Admin > Invoice business rules.
Notifications appear for all users and can be dismissed (or not) depending on the notification severity. You can choose to allow specific roles to dismiss notifications that they consider to be not relevant for the invoice. For example, you may decide that invoice submitters should be allowed to dismiss any notifications resulting from the check that a reverse charge reference is present on the invoice.

Viewing and activating formal checks
You can view all invoice checks performed by Yokoy in Admin > Invoice business rules.
Formal checks are classified into five categories:
General checks
Address checks
Customer checks
Supplier checks
Tax checks
Click on a check to view a description of the check performed. The formal checks table displays for each check:
Placement: where the notification appears. It can either be in the invoice header or in the invoice line item.
Severity: type of notification. It can be either an error, a warning or an information type.
Dismissibility: whether a user can dismiss the notification. See Dismissing notifications.
Status: whether the check is active or inactive.
To enable a check, click on the row and click Activate. If you want Yokoy to skip a specific check, click on it and click Deactivate. You can select multiple checks and click Activate/Deactivate, as appropriate.
Dismissing notifications
Depending on the type of notification, you can choose to allow users to dismiss notifications. If a user chooses to dismiss a notification, the action is logged in the invoiceโs history for traceability.
Error type notifications cannot be dismissed since they are associated with mandatory information required for exporting the invoice. Info type notifications are dismissible. By default, some warning notifications are dismissible and others are not dismissible depending on the type of check. However, you can choose to change the dismissibility for warning notifications as required. For example, you can decide to allow users to dismiss any notifications associated with customer name.
You can change whether a warning notification is dismissible or not dismissible in Admin > Invoice business rules.
To change the dismissibility, click on a check and in the Dismissibility field, select Dismissible. This means that users can dismiss any notifications resulting from that check. You can select multiple checks and click Make dismissible/Make non-dismissible as appropriate.
Determining dismissibility by role
By default, users cannot dismiss notifications. However, you can choose to allow specific roles such as finance users to dismiss any irrelevant notifications.
You configure the roles that can dismiss warnings in Admin > Invoice settings. The user roles that you can allow to dismiss notifications are submitters, managers (approvers), invoice processors, and finance users.
๐ง Warning
To allow a specific user to dismiss notifications for a warning check, you must have enabled the check as dismissible and granted that user role permission to dismiss notifications. If you enable the check as dismissible but don't determine the user role who can perform the action, the notification cannot be dismissed.
