The content of this article applies to both our mobile app and our web app.
You can check the status of any submitted expense anytime on both the mobile and web apps. This allows you to know where your expense report is in the approval process, from initial submission up until it's been exported and paid out.
In the mobile app:
To view the status of expense reports after submission, there are three menus you can check. Each expense report will be accompanied by its exact status, and the meaning of each status is explained in the article linked here.
To check single expense reports in the approval process, open the Expenses section and select the Submitted tab. This will allow you to view the statuses of expenses that have been submitted, but not yet paid out.
To check trip expense reports in the approval process, open the Expenses section and select the Trips tab. This will allow you to view the statuses of all trips that have not been paid out yet, including those in the approval process.
To check expense reports that have been paid out, open the Payment section. Here you can see all expense reports that have been fully approved, reviewed, and exported for reimbursement.
In the web app:
To view the status of expense reports after submission, there's two menus to check.
In the Submitter / Single expenses tab, you can filter your single expenses by status.
To view which expenses are currently in approval by a Manager, filter for In approval
To view which expenses are currently in review by the Finance team, filter for In review
To view which expenses have been exported for reimbursement, filter for Exported (expenses) or Exported (card expenses)
Additionally, if an expense report has been sent back to you to be fixed, it will have the status Needs revision. If it has been permanently rejected, it will have the status Rejected.
In the Submitter / Trip expenses menu, you can filter your trip expenses by one or several statuses.
To view which trip expenses are currently in approval by a Manager, filter for In approval
To view which trip expenses are currently in review by the Finance team, filter for In review
To view which trip expenses have been fully approved and reviewed, but not yet reimbursed, filter for Ready for export
To view which trip expenses have been exported for reimbursement, filter for Exported
Additionally, if a trip expense report has been sent back to you to be fixed, it will have the status Needs revision. If it has been permanently rejected, it will have the status Rejected.
Now, you can check the status of your expense reports at every point in the approval process!
