Assign an assistant to manage your spend

An assistant can handle your spend for you, making spend management even easier for you.

Assistants can create, submit, and recall expenses, trips, and invoices on your behalf, as well as manage any transaction matching.

You or someone with a HR role can set up an assistant for you - as long as this is in line with your company policies. Similarly, other users can designate you as their assistant in Yokoy.

You can have only one assistant at a time. However, you can act as an assistant for several people at the same time. When you assign an assistant, you can still access and manage your spend - the only difference is someone else can do it too.

Assigning an assistant in the mobile app

To assign someone to be your assistant:

  1. Tap the three bars in the top left corner.

  2. Then, select My profile.
    ​

  3. Choose whether you want to assign an assistant to manage your expenses, your invoices, or both:

  • Expenses: tap the My assistant field to open a drop-down menu. Select the person you'd like to assign as your assistant.

  • Invoices: tap the Add delegate option. In the My delegate field, select the person you’d like to assign as your assistant. For Delegate type, select Submitter delegate.

4. Tap Save. To remove an assistant, select Clear selection in the My assistant/My delegate drop-down menu. Press Save to keep the changes.

Assigning an assistant in the web app

To assign yourself an assistant, click on your initials in the bottom right of your screen and select My profile. This takes you to the settings for your profile in Yokoy.

For expenses, in My assistant, select the user you want to authorize to act on your behalf with your spend.

For invoices, click Add delegate, select the user you want to act as your assistant, and choose Submitter delegate as the delegate type. This enables your assistant to upload invoices on your behalf. Once you have finished adding your assistant, click Save.

To remove an assistant, select Clear selection in the My assistant drop-down menu. Click Save to keep the changes.
