Connect Pagero with Yokoy

Integrate with Pagero’s cloud-based e-invoicing solution to get a fully automated accounts payable process – from invoicing to payment.

Yokoy integrates with Pagero, a cloud-based e-invoicing solution. By connecting Pagero to Yokoy, you can manage all your e-invoices whatever their format. Pagero converts your received e-invoices to Peppol BIS Billing 3.0 standard. This means that you can import invoices in different formats required for country compliance (such as ZUGFeRD and XRechnung) for processing within Yokoy.

Pagero invoices are handled as PDF documents in Yokoy and are compatible with smart coding. You can import e-invoices from multiple companies into Yokoy. Each Pagero company is linked to a single Yokoy company (legal entity). For example, invoices to Company A in Pagero are imported into the legal entity Company A in Yokoy.

E-invoices are imported from Pagero every 5 minutes. Yokoy checks the legal entities that have an active Pagero integration and fetches any new e-invoices for that company. All imported e-invoices have the status New and are marked with the origin e-invoice.

E-invoices are processed by invoice processors in the same way as standard PDF invoices. You can check the status of the documents imported from Pagero in the synchronization logs.

🚧 Caution
The current version of the Pagero integration does not support application responses. Application responses are used to confirm acceptance (approval) and/or payment of invoices. In some countries, payment responses sent to the supplier or government entity may be required.

Requirements

To import your Pagero e-invoices into Yokoy, you need:

  • Pagero account: you need to have a Buyer account (i.e. to receive the invoices).

  • Dedicated user in Pagero: Yokoy must have a dedicated Pagero user account to be able to retrieve the invoices from the platform.

Pagero account setup

Pagero Online has two account types: buyer and supplier. The buyer receives e-invoices from a supplier. The supplier is responsible for sending e-invoices to customers. You need to have a Pagero Buyer account that is set up and configured to receive invoices.

Dedicated technical user

A Pagero technical user needs to be created for each organization configured in Yokoy. This user must have permissions to access all the companies in Pagero that you want to link to companies (i.e. legal entities) in Yokoy. Pagero technical users are created by Pagero. You can only have one organization linked to a Pagero user.

✏️ Note

If you have more than one organization in Yokoy, a separate Pagero user must be set up for each organization.

Enabling the Pagero integration

When you set up the Pagero integration for the first time, you need to authorize Yokoy to access Pagero. Yokoy authenticates using OAuth 2.0 Authorization Code Grant. You only need to authenticate the first time you set up the integration:

Connect Yokoy to Pagero

To enable the Pagero integration in Yokoy and allow Yokoy to connect to the Pagero platform:

  1. Go to Admin > Integrations.

  2. Select the company (legal entity) you want to initially sync with Pagero.
    You can add additional companies later on.

  3. Go to the E-invoicing tab.

  4. Turn on the Pagero toggle option.

  5. Click Connect to provider.


    When you click this button, you are redirected to a Pagero login page in the Pagero Online portal where you must enter the username and password for the Yokoy technical user.

  6. Pagero redirects you back to Yokoy, where you can see the E-invoicing tab.

🚧 Authentication via access token
Pagero login credentials are not stored in Yokoy. Yokoy is granted permission to access Pagero data on behalf of your Pagero technical user using an access token.

Set up the company

Once you have given Yokoy permissions to access the Pagero platform, you determine the Yokoy legal entity to receive the e-invoices. You can add more companies at a later stage as required:

  1. Select the Pagero buyer account (i.e. company who receives the invoice) you want to link to the Yokoy legal entity by selecting one of the options in the Select Company dropdown list.

  2. Click Activate Connection.
    By clicking this button, you link the selected company with the Yokoy legal entity. The connection status changes to Active.

  3. Yokoy starts to retrieve every new e-invoice you receive for that company in your Pagero account and creates them in Yokoy.

After activating the connection, if you select another company in the Select company dropdown list, Yokoy asks you if you want to import invoices from the new company.

🚧 Caution

Any invoices that have been already imported into Yokoy until that point will be kept and need to be removed or archived manually.

Add additional companies

When you have set up the first company, you can configure the Yokoy legal entities to receive the Pagero company invoices.

  1. Go to Admin > Integrations.

  2. Select the next Yokoy company that you want to connect to Pagero.

  3. Select E-invoicing tab.

  4. Turn on the Pagero toggle option.

  5. Select the Pagero company to link to the Yokoy company by selecting it in the Select company dropdown list.

  6. Click Activate Connection.
    By clicking this button, you link the selected company in the Buyer account with the Yokoy company. The connection status changes to Active.

  7. Yokoy starts to retrieve every new e-invoice you receive for that company in your Pagero account and creates them in Yokoy.

Managing synchronization

Yokoy imports e-invoices from Pagero every 5 minutes approximately. However, you pause the synchronization process for a specific legal entity at any stage and resume it later. When you resume synchronization, Yokoy fetches all new e-invoices in Pagero since the last sync.

To pause and resume synchronization:

  1. Go to Admin > Integrations.

  2. Choose the company (legal entity) that you want to pause/resume the integration.

  3. Go to E-invoicing tab.
    Here you see all details of the Pagero integration.

  4. Click Pause connection or Activate connection depending on whether you want to stop or start the synchronization process.
    The connection status changes to Paused or Active depending on whether you have stopped or started the process.

Viewing synchronization logs

The E-invoicing tab displays details of the invoices that have been imported from the Pagero Online platform in the history. Click View full history to display a list of the actions performed, such as refreshing the token to connect to the system and the number of invoices imported. You can filter the log by date and time.

E-invoices that are imported into Yokoy are marked as Fetched in Pagero so they are not taken again.

The log lists the Pagero e-invoice ID and the newly created Yokoy invoice ID. For example, the e-invoice 01eec4e1-b290-1f0a-98e9-170156b46d53 created as Yokoy invoice Li1AujCgq.

The invoice history is always shown, even if the integration is active or paused. For example, if the user token has expired or there is connection problem, you can check the log to troubleshoot any issues.

Viewing imported e-invoices

All imported e-invoices have the status New. All Pagero invoices have the origin e-invoice. In the invoice preview, the footer of the invoice contains the reference Generated by Pagero. The invoice history shows that the invoice has been automatically uploaded via e-invoice. E-invoices are processed in the same way as standard PDF invoices.
